Folio Cloud ("we", "our", or "us") provides a practice management platform for accountants, auditors, and bookkeepers. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our application and services located at foliocloud.app.

When you register and use Folio Cloud, we may collect the following personal information:

• Account Information: Name, email address, company details, and contact preferences.
• Workflow & Case Data: Case titles, internal notes, deadlines, and task metadata created within the workspace.
• Authentication Data: OAuth tokens and user identifiers provided by authentication identity providers.

2. Google User Data & Gmail Scopes

If you choose to connect your Google account (including Gmail integration via OAuth):

• Data Accessed: Folio Cloud accesses email messages, sender/recipient addresses, subject lines, timestamps, and message threads strictly to parse and organize client communication into case files.
• Data Usage: This data is solely used to display relevant email threads within your active cases and automate case status updates.
• Data Storage: OAuth access tokens are stored encrypted at rest. We do not store raw email passwords.
• No Sale or Third-Party Sharing: We do not sell your personal or Google user data to any third parties, advertising networks, or data brokers.
• No AI Model Training: Google user data accessed via Gmail API is not used to train generalized artificial intelligence or machine learning models.

3. Google API Limited Use Disclosure

Folio Cloud's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4. Data Retention and Deletion

We retain your information only for as long as necessary to provide our services and fulfill legitimate operational needs. You may disconnect Google integration at any time through your Google Account Security settings or from within the application. You can request deletion of your account and associated data by contacting us directly.

5. Security of Your Information

We implement administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, destruction, or disclosure. Communications are encrypted in transit using Transport Layer Security (TLS).
